AI in Document Workflow

AI increasingly supports document workflow and business process automation. This guide answers nine practical questions using three AMODIT capabilities: AMODIT Copilot, AskAI and a retrieval-augmented generation (RAG) Knowledge Base.

1. How Does AI Support Document Workflow?

Configured AI can speed document review, recommend or complete data, support requests, find internal knowledge and reduce repetitive navigation. Finance, HR, Administration, Legal, Sales and Operations can use these capabilities within controlled workflows.

AI prepares outputs and recommendations; employees review them and approve decisions.

2. Which AI Capabilities Are Available in AMODIT?

  • AMODIT Copilot: a natural-language assistant for designing processes and automation.
  • AskAI: analyzes the current case or document to support operational work.
  • RAG Knowledge Base: answers questions using approved internal documents, procedures and policies.

The three capabilities address different needs and can work together across process design, daily case work and organizational knowledge.

3. What Can AMODIT Copilot Create?

Copilot goes beyond chat. It can prepare a draft workflow with steps, forms and fields; propose reports and summaries; draft document and instruction text; recommend rules and automation logic; help revise processes; and explain system elements.

For example, a user can request a contract process with intake, review, approval and archiving. Copilot prepares a draft that a process owner reviews, refines and approves before use.

4. What Does AskAI Do?

AskAI works in the context of the open case, including form data, attached PDFs or scans, fields and comments. It can summarize a document, identify important information, point to missing or inconsistent content and answer questions about the case.

A user might ask: “Summarize this agreement in five points and identify the key obligations.” The employee reviews the response before relying on it. AskAI is relevant to document-intensive work in HR, Finance, Administration, customer service and Legal.

5. How Does the RAG Knowledge Base Differ from AskAI?

The Knowledge Base uses approved internal materials such as procedures, instructions, policies, regulations, supplier agreements and training documents. It can answer questions about leave procedures, purchase requisitions or remote-work rules.

CapabilitySource DataPurpose
AskAICurrent case and attached documentsUnderstand and summarize documents within a process
RAG Knowledge BaseApproved internal procedures, policies and instructionsAnswer organizational and training questions

AskAI supports the current case, while the Knowledge Base provides access to broader organizational knowledge.

6. Does AI Replace Employees?

No. AI reduces time spent reviewing documents, summarizing agreements, searching procedures, drafting reports and performing repetitive process actions. Employees remain responsible for decisions, approvals, negotiation, analysis and customer work.

7. What Determines the Cost?

Cost has two components. Module licensing can vary with the number of users, processes, AI usage and organization size. Implementation can include module setup, user training, support for initial automation and optional preparation of Knowledge Base documents.

Users can begin exploring the configured capabilities during initial sessions; measurable business results depend on data quality, process design, adoption and review controls.

8. Is AI Integration Secure?

Security depends on deployment, configuration and contractual controls. Relevant safeguards include encryption, access control, GDPR-aligned processing, change audits and operation logs. Customers should confirm which data is sent to each configured model or service, where it is processed and which retention rules apply.

9. Which Organizations Can Use AI in Workflow?

The modular approach can support both smaller organizations and enterprises. Scope should reflect process volume, risk, integration requirements and governance—not a generic promise of instant or low-cost implementation.

Three Levels of AI Support

  1. AMODIT Copilot drafts processes and automation.
  2. AskAI analyzes cases and documents.
  3. RAG Knowledge Base answers questions from approved procedures and instructions.

Together they support document-intensive work while people verify outputs and approve decisions.
