Electronic signatures inside the workflow
Sending a file for signature is only one step. The process still needs the right signers, the right order, status tracking, exception handling and a reliable destination for the completed document. AMODIT connects these activities in one business workflow.
The signed document returns to the business process
The challenge extends beyond signing
Teams manually check who has signed, send reminders and download completed files. Multiple signers, external parties and a defined sequence introduce more exceptions. A refusal or document change may require part of the workflow to start again.
Signing becomes a controlled stage
AMODIT prepares documents and signer data, starts the appropriate signing route, receives status updates and completed files, then moves the case to its next step. The process history connects the document, people, decisions, dates and final outcome.
From a final draft to a completed signature package
The configuration follows your document types, participants and required signature method. AMODIT controls the workflow around that choice.
1. Prepare the documents
The workflow can collect a main file and attachments, generate a document from case data or receive files from another system. Completeness and version can be checked before dispatch.
2. Select the signers
Roles and order can come from process data. A document may go to one person, several sequential or parallel signers, or an external participant.
3. Use the required signature route
Recorded project scopes include simple signatures, advanced signatures confirmed by SMS, qualified signature support, handwritten signatures and electronic seals. The route is selected for the document and the organisation’s requirements.
4. Include external signers
A contractor or another person outside the organisation can receive controlled access through a secure link and an agreed confirmation mechanism.
5. Track status and exceptions
The workflow can retrieve status, send reminders and handle refusal or interruption. The next route follows the outcome without losing the case history.
6. Return and archive
Signed files, timestamps and process information return to the case. The document can continue to a repository, employee file, contract workflow or another system.
A process suited to the document and volume
The internal register covers electronic signature work for 99 customers across 104 projects. It includes individual documents, multi-signer routes, bulk operations and integrations with external signature services.
Contracts and external documents
Signing can close contract approval and automatically start archiving, obligation management or another document workflow.
Employee documentation
Documents can move from an HR workflow to signature and return to the electronic employee file or portal with their updated status.
PDF packages and multiple signers
A case can include a main document, attachments and several signers with defined roles and sequence.
Bulk signing and sealing
The register also includes serial signing and sealing processes. Batch size, authentication and exception handling depend on the selected mechanism and agreed project scope.
We will review the document types, signer roles, exceptions and destination for completed files. This provides the basis for a complete workflow rather than an isolated send-for-signature step.
Describe your document types, signer roles and current process. We will show how signing can connect to the wider AMODIT workflow.
Electronic signatures in AMODIT: FAQ
1Does AMODIT support different electronic signature methods?
Recorded project scopes include simple and SMS-confirmed advanced signatures, qualified signature support, handwritten signatures and electronic seals. These concepts are not legally equivalent, so the method should match the document and process requirements.
2Can several people sign one document?
Yes. The workflow can define roles, order and parallel or sequential signing. The exact configuration depends on the document, signature provider and organisation’s rules.
3Can an external person take part?
Recorded scopes include external participation through a link and confirmation mechanism. Access and authentication are selected for the specific process.
4What happens when a signer refuses?
A refusal or interrupted signature can trigger an agreed route, such as returning the case to the author, revising the document or closing the process. Status and comments remain in the history.
5Can the signature workflow integrate with other systems?
Yes. The register includes API, SQL and file-based exchanges where another system submits documents and receives completed files, statuses, comments or dates. The scope depends on the signature service and client architecture.
