Paperless Contracts at a Food Manufacturer

A large Polish food and beverage manufacturer expanded from one purchasing contract workflow to a growing paperless ecosystem over three years. The project demonstrates how a low-code platform can support distinct contract routes and electronic signatures.

Start With Purchasing Contracts

The cooperation began approximately three years before the Polish article was published. The first workflow collected purchasing contracts in one place and replaced email-based circulation. Legal, controlling, technology, marketing, and other participants could review and approve provisions before signature.

A proof of concept was prepared in fall 2019. Full implementation began in January 2020 and continued through September 2020. When priorities changed during the pandemic, the team separated the most urgent capabilities, led by electronic signatures, and delivered that scope within two months.

The contract workflow included AMODIT TrustCenter advanced electronic signatures, with identity confirmation through email and an SMS code, a timestamp, and protection of document integrity with a qualified seal and blockchain technology.

Expand Into Sales Contracts

A second AMODIT implementation began in early 2020 for sales contracts, including complex commercial agreements with HoReCa customers. The sales route used the same signature platform but required a different preparation and approval process.

The new sales workflow was implemented in three months, through July 2020. After administrator training, the customer maintained and modified it using AMODIT's low-code configuration and public knowledge base.

Model Complex HoReCa Agreements

The most demanding application generated signature-ready PDF agreements from templates stored in AMODIT. It combined reference data, such as contractor tax identifiers and product types, with figures entered by sales representatives for planned volume, margin, and expected return.

The customer used three routes:

  • Green: a standard agreement ready for signature after manager approval.
  • Orange: nonstandard margin or volume also required controlling approval.
  • Red: an additional responsible approver was required based on the provisions.

The project had to insert and format variable data while protecting fixed legal clauses against modification. This implementation took seven months, through July 2020. In January 2022, the team began improving the process for field use on mobile devices based on sales representative feedback.

Scale the Contract Ecosystem

The published case study reports approximately 1,000 purchasing contracts and 8,000 sales contracts created in AMODIT, with more than 100,000 existing agreements migrated into the platform.

Low-code prototyping allowed users to see a working process and refine requirements before expanding it. The same environment could then support additional contract types and signature methods without rebuilding the application from the beginning.

Electronic Signature Development

In September 2020, AMODIT enabled qualified signatures from issuers in Poland and the EU. In 2021, the service was entered in the register of trust service providers maintained by the National Bank of Poland. These statements describe the service status reported for 2020–2021.

The established contract processes could be reconfigured to use qualified signatures without conventional development or a separate integration project.

Build the Ecosystem in Stages

The implementation moved from one controlled purchasing process to distinct sales and HoReCa workflows. Each stage reused the platform foundation while adapting routes, templates, data, and authority levels to the business scenario.
