Temporary Case Access for External Users

Version 2019.0002 introduced temporary case access for people outside the organization. A person without an AMODIT account can receive limited access to one case, complete a form and move the case to its next step.

Temporary access to an AMODIT case for an external participant

Temporary access supports several business scenarios:

  1. A recruiting team collects the data required from a candidate.
  2. A company collects information from a new contractor before starting its internal contractor assessment.
  3. External lawyers occasionally receive cases for review without receiving permanent AMODIT accounts.
  4. External appraisers provide an opinion on a specific case.
  5. Potential suppliers submit structured responses to a request for proposal, giving the buyer comparable data for selecting an offer.

AMODIT settings for temporary external access to a case

Each scenario requires information from someone outside the organization using AMODIT. Email alone does not provide a controlled way to collect specific fields. Temporary access makes a form available to a person without an account and lets that person submit it with an action such as Send.

The process designer defines:

  • the stage at which temporary access is granted;
  • the recipient;
  • the access period;
  • the case elements available to that person, such as documents, comments, related cases and case history—the form is the only element available by default;
  • the form fields that are visible or required;
  • the action triggered when the person selects the button.

The case continues within the configured time and rules, and the structured data is immediately available to subsequent workflow stages.
