Correspondence
Long-running correspondence processes need more than a mailbox. An organization asked for a mechanism that would route incoming and outgoing correspondence, identify stakeholders and ensure that no case disappeared before a regulator or court sent the first reminder.

The customer's requirement was clear:
Correspondence cases can remain open for months. The organization needs controls showing whether a case has stalled, whether work is progressing and when a reminder is due. A supervisory institution or court should never be the first party to follow up.
Benefits
AMODIT provides a structured, dynamic correspondence workflow. The customer has a central register with document previews and current information about each case. Teams can see who holds a document, its stage and the number of items awaiting approval.
Solution
The workflow notifies a selected group when correspondence arrives. A reception employee describes the case type and assigns it through a controlled dictionary. The record contains sender and recipient addresses and a short case description. The organizational structure identifies the group manager, who takes responsibility for the next steps. Data entered in the correspondence log is copied into the case process.
Potential stakeholders receive a notification and can open the case as observers. After reviewing the correspondence, an interested person uses the Add Me to the Case action to join the process. The participant then selects a one-time reminder with a due date or a recurring reminder with a start date and interval.
The correspondence case closes after every stakeholder confirms that the matter is complete from their perspective. When a response is required, the outgoing correspondence returns through the same log. The register acts as a router that controls direction and addressing.
