The client, an international group operating in the energy industry, set a goal of completely eliminating the processing and storage of paper versions of employee documentation in favor of electronic files, as is envisioned the provisions of current regulations.
Project Scope

The company decided to deploy the Amodit platform in order to handle employee files. This tool enables different access rights:

  • At the Employee view level – to individual employee data within their portfolio, such as information about documents, employment, testing, etc.
  • At the Company view level – from a general management point of view of the entire structure of the company, to specific companies/departments/teams/positions

Employees log in using the existing infrastructure in the company in the form of Google accounts (using SAML authorization, Windows AD integration is also possible). Additionally, the platform uses Google Drive integration to enable reading documents for processing. 

What additional processes have been implemented?
  • Handling of HR documents, with automatic case creation through using the document scanning system from the company’s scanning devices. Immediately after scanning, in order for the documents to be attached to an electronic file, they are sent to the appropriate department for verification and further processing on the Amodit platform.
  • Checking the completeness of an employee file during the process of hiring a new employee.
  • Moving the folders of dismissed employees to a virtual archive.
  • Transferring pay slips to employees using the AMODIT platform – integration with the TETA HRM system.
  • Handling employee penalties.

The implementation of the process included the complete digitization of documents which had previously been stored in paper form. A partner company, responsible for digitizing and indexing historical documents stored in paper form, cooperated in this implementation. The documents prepared by our partner were then imported into Amodit.
